Privacy Policy

Last updated: 24 July 2026

This Privacy Policy explains how LAIMA handles personal data when you use our laboratory inventory management service, website, and support channels.

Who we are

LAIMA is operated by Cleanbit, MB in Lithuania. For questions about this policy or requests concerning your personal data, contact [email protected].

Data we process

  • Account and organization data: your name, email address, laboratory or team name, account role, authentication details, and account activity.
  • Laboratory data: catalog items, inventory, locations, projects, distributors, consumption records, imports, notes, audit records, and other content submitted by your team.
  • Technical and usage data: session and security information, requests, errors, performance data, browser or device information, and feature interactions needed to operate, protect, and improve the service.
  • Communications: information you provide when you contact support or otherwise communicate with us.

Your organization controls the account and laboratory inventory data its members submit. Where we process that data on the organization's behalf, your organization is responsible for deciding what data is entered and who may access it.

How we use data

  • Provide, maintain, and secure LAIMA and authenticate users.
  • Store and process laboratory inventory data and generate requested reports.
  • Send verification, password reset, service, and support communications.
  • Prevent abuse, diagnose errors, monitor performance, and improve reliability.
  • Comply with legal obligations and enforce our agreements.

Depending on the context, we process personal data to perform our contract with you or your organization, pursue legitimate interests in operating and securing LAIMA, comply with legal obligations, or act with consent where required.

Service providers and disclosures

We use service providers only where needed to operate LAIMA, including infrastructure and database hosting, Mailgun for transactional email, Cloudflare Turnstile for signup abuse prevention, and Laravel Nightwatch and Sentry for application monitoring and error diagnostics. These providers may process limited data on our behalf for those purposes.

We may also disclose data when required by law, to protect LAIMA and its users, or as part of a business reorganization. Where a provider processes data outside the European Economic Area, we use appropriate safeguards where required. We do not sell personal data or use it for behavioral advertising.

Cookies

LAIMA uses cookies and similar local storage for authentication, session security, request protection, and saved preferences such as your selected color theme. We do not use advertising cookies.

Data security

We use technical and organizational safeguards designed to protect personal data. No online service can guarantee absolute security, so account owners should use strong credentials and limit access to authorized team members.

Data retention

We retain account and laboratory data while the account is active and afterward only as reasonably necessary to provide the service, maintain backups, resolve disputes, enforce agreements, and meet legal obligations. Technical logs and support communications may be retained for shorter operational or security periods. You may contact us to request deletion, subject to applicable legal and contractual requirements.

Your privacy rights

Depending on applicable law, you may have rights to access, correct, erase, restrict, or object to processing of your personal data, and to receive portable data. You may also withdraw consent where processing relies on consent and lodge a complaint with the relevant data protection authority.

Contact [email protected] to exercise a right. If your data was submitted through an organization, we may ask you to contact that organization or involve it in responding to your request.

Updates

We may update this policy when our practices or legal obligations change. We will post the revised version here and update the date above.
